Gravity Forms Data Integration

Charity Toolkit has built an integration between Gravity Forms and Donorfy. Add our dedicated field pack to introduce Donorfy connectivity to any of your Gravity Forms. Great for taking donations, registering Gift Aid declarations, selling event tickets, updating communication preferences and more.

Works with

Subscribe to Charity Toolkit's Gravity Forms integration to access our dedicated Wordpress plugin. Once installed, your Gravity Forms plugin will pair with ours, allowing your elected forms to transmit their submission data to Donorfy.

The drag-and-drop dedicated Donorfy fields are packed with features, include cloning shortcuts, field rendering configurations, concurrent purchase and donation intake, and one-click Stripe payment mapping.

CRM Contacts

The integration identifies existing contacts in your CRM system database, or creates new ones if no match is found. Hidden fields mean you can set a Constituent Type context for your forms too, which feeds into that matching and creation process.

CRM FIELDS

An exceptionally rich field-set is available out of the box. Create Activities on timelines populated with the full gamut of sub-fields. Capture more about your users, including gender, date of birth, and postal addresses in your preferred format. You can also collect communication preferences, right down to the segmentation level of purpose and tags.

TRANSACTIONS

With the Gravity Forms Stripe add-on you can unlock the full power of the Charity Toolkit integration’s payment mechanic. Users can make both purchases and donations in the same submission, yet have each mapped uniquely in your CRM system. Present donations with prescribed giving amounts, mark donations for Gift Aid eligibility and quick-clone the mappings of your items.

REPORTING AND LOGS

Submissions through the integration will log to the Entries tab just like any other form in your Gravity Forms product, but with the added touch of a manual “Re-send to Donorfy” button to force data through from any transmissions that may have failed.

The Charity Toolkit Gravity Forms integration runs on every submission received from the forms you’ve enrolled. There is no cap on the volume of forms you enrol or the submissions they transmit - so long as your subscription is active the integration is always on.

Subscription also includes support and troubleshooting, plus new features rolled out via (optional) plugin updates.

Please note, Charity Toolkit does not collect fees per transaction it processes, nor does it present tipping or self-interested donation mechanics to your users. The monthly operational subscription is all we charge.

Charity Toolkit does not collect fees per transaction it processes, nor does it present tipping or self-interested donation mechanics to your users. The monthly operational subscription is all we charge.

Third party platforms and services associated with this product will likely themselves charge you for their use - always check their terms.

Charity Toolkit

This integration can only connect the necessary systems with authorisation established through their respective API configurations. The credentials (and some customisation settings where applicable) needed to do this need to be shared with us so we can properly associate the integration with your Charity Toolkit account

If you don’t have these details available at the point of registration a member of the Charity Toolkit team will be in touch shortly after your registration to guide you on obtaining them.

Constituents

When a submission is received by the integration, it will create a Constituent record for the user and, depending what Donorfy-enabled fields are included in your form, will:

  • Add a Transaction to their timeline for a donation made.
  • Add a Transaction to their timeline for a purchase made.
  • Add an Activity to their timeline.
  • Add Tags to the profile.
  • Add a Gift Aid Declaration to their timeline.
  • Opt in or out of communication Channels.
  • Opt in or out of Purposes

If the data in a submission finds existing record matches in your CRM system, the integration will use these rather than create a new record, and will update Profile fields as well as well opt-ins to communication Channels and Purposes.

Constituents

If the data in a submission does not find existing record matches in your CRM system, the integration will create a new record. The matching process compares First Name, Last Name, Email Address, Postal Address and Phone Number; if there are too many variations between these fields as they appear in the submission data and the CRM system data no match will be found and a new record will be made.

Customisation

The integration product is robust and centralised for all our customers. Unique mappings and configurations are available for customising how the data appears in your CRM system, but how the integration works is largely fixed in place. It is always worth asking for special requests though, as we have been able to entertain some in the past.

Fields

There is a comprehensive video demo on the Charity Toolkit YouTube channel on how to setup and configure the integration, which also includes a breakdown of all the salient fields and their capabilities. We recommend giving that a watch

GDPR

Charity Toolkit’s Gravity Forms integration stores none of the data collected from submissions, bar submission ID numbers. We keep these numbers for operational purposes and debugging. No submission data from your forms is stored outside of Gravity Forms.

Submissions

Yes. Find the submission you’re looking for under a form’s Entries tab and click the ‘Re-Send to Donorfy’ button in the right-hand column.

Submissions

No. Submissions made to a form prior to its enrolment to the integration won’t consist of the same internal markers needed to map it correctly to Donorfy.

Submissions

On occasion, CRM systems experience blips which mean our integration can’t reach them, or our integration is interrupted. If this is the case, you can any missed submissions under a form’s Entries tab and click the ‘Re-Send to Donorfy’ button in the right-hand column.

If you are finding submissions are part-failing (e.g. the constituents are being identified/created correctly but their transactions are not), double-check the mappings you have configured for the effected fields. These mappings have to match verbatim, including any empty spaces at the beginning or start of the mapping in Donorfy you may not realise are there.
